The Video Lab – Studio Booking Terms & Conditions

Welcome to The Video Lab. We offer two unique studio experiences under one roof:

* The Content Studio: A plug-and-play space designed for video podcasts, YouTube content, and online video creation — complete with pre-lit sets, cameras, mics, and a studio assistant for technical support.

* The Event Studio: A versatile space built for in-person workshops, meetings, photoshoots, and third-party video productions. This studio can be rented as a shell space, with flexible layout and equipment use.

Please read the following Terms & Conditions carefully. By booking a session at either studio, you (“Client”) agree to all applicable terms outlined below.

SECTION A: GENERAL TERMS (Applies to All Studio Rentals)

1. Booking & Payment

* Payment is due in full at the time of booking to reserve your time slot.

* Bookings are first-come, first-served and not confirmed until payment is received.

* You are responsible for booking enough time to include setup, teardown, and wrap-up.

2. Rescheduling & Cancellations

* A $50 rescheduling fee applies to any changes made within 72 hours of your scheduled session.

* Cancellations made within 48 hours will forfeit the full session fee.

* No-shows or cancellations within 24 hours are not eligible for rescheduling or refund.

3. Session Time & Overtime

* Your session begins and ends at the reserved time, regardless of arrival.

* If your session exceeds the reserved time, you will be charged for the next full hour at $249/hour, billed in one-hour increments.

4. Content Usage for Marketing

* The Video Lab reserves the right to use behind-the-scenes footage, stills, or brief excerpts of recorded content for marketing and promotional purposes on social media, websites, Assembly, or trade shows.

* Full-length content or sensitive material will never be used without written consent.

5. Damage, Loss, & Liability

* Clients are fully responsible for damage to any equipment, furniture, or studio property caused by themselves or their guests.

* All damaged or broken items will be billed to the client at full repair or replacement value.

* The Video Lab is not liable for lost or stolen personal property.

* Clients using the Event Studio are responsible for any actions by third-party vendors or crews.

6. File Delivery & Storage

* Clients must pay for the one-time $150 Studio Onboarding Package before their first session.

* Clients must download or request footage within 14 days of their session, if files are transferred via cloud based services, which is agreed upon in writing.

* The Video Lab does not guarantee file storage beyond that period unless otherwise agreed upon in writing.

7. Force Majeure

* The Video Lab shall not be held liable for delays, cancellations, or disruptions caused by events beyond our control, including but not limited to acts of God, illness, equipment failure, or weather.

SECTION B: Content Studio Terms (Pre-Configured Video Podcast & YouTube Studio)

This section applies to all bookings in the Content Studio.

* Studio includes lights, cameras, microphones, and a pre-designed setup.

* A studio assistant will be present to handle basic technical support (setup, recording, switching cameras, etc.).

* No outside crew or gear is required; however, any additional equipment or third-party involvement must be approved in advance.

* Clients are expected to arrive prepared and ready to film within their scheduled time.

* Set and gear modifications are not permitted unless discussed beforehand.

* This studio is ideal for podcasting, coaching videos, solo content, interviews, and YouTube recordings.

SECTION C: Event Studio Terms (Workshops, Photography, Third-Party Productions)

This section applies to all bookings in the Event Studio.

* This studio is a flexible shell space that can accommodate up to 20 guests for workshops, meetings, lunch-and-learns, private content sessions, and more.

* The Video Lab provides professional video recording services for business events hosted in the Event Studio (e.g., workshops, panels, training sessions). These services are included unless the client opts to bring in their own videographer.

* If the client chooses to bring in an outside videographer or production team, The Video Lab is not responsible for their setup, gear, storage, performance, or footage.

* Layout, staging, and custom event setup are the responsibility of the client or their hired team.

* You may bring in third-party photographers, videographers, or crew. Advance notice is required.

* Any outside gear must be fully removed by the end of the booking. The Video Lab is not liable for personal or third-party equipment.

* Basic cleanup is expected. The space should be returned to its original condition unless prior arrangements are made.

* Use of The Video Lab’s in-house lighting, microphones, or additional gear must be requested and approved separately unless bundled with The Video Lab’s video services.

* If your event includes filming or photography involving guests or attendees, you are responsible for securing media releases or consent where appropriate.
